The pricing, because it is the differentiator

The page notes that the price adjusts monthly based on active machines, which is the sane way to bill a route that grows in steps. The trial is 14 days with no credit card required, and that combination matters more than the headline number: you can find out whether you like the software before anyone has your card details.
If the spend is going on plastic anyway, the card choice is worth ten minutes. Most operators we talk to land on the Capital One Venture X for the flat 2X on everything, including freight and product. Referral link, and the honest caveat is that a $395 fee plus any carried balance beats what the miles are worth.
To put it in context, most of this category won’t tell you the price at all. Parlevel has no pricing page. VendSys has none. Vendon has none. 365 offers an ROI calculator where prices would go. Cantaloupe publishes purchase models but not the monthly fee. Gimme does publish, and its entry tier is $24,057 a year. What each tier gets you
Across all tiers: par levels, low-stock alerts, expiration date tracking, automated pick-list generation by machine or route or day, warehouse pull sheets for prekitting, route planning that optimises for mileage and timing, machine-level P&L, sales and product analytics by location, driver collection and reconciliation, cash and card reconciliation per machine, bulk product import, and a mobile app called VendSoft Vending Management with unlimited driver accounts.
The tier ladder is mostly about depth rather than access. Essentials gets basic reporting. Pro adds roles and permissions, QR-code customer feedback, sales and stock alerts, expiration tracking and multiple warehouses. Business adds API access, BI integrations with Looker Studio and Power BI, and truck inventory tracking.
Two of those are worth pausing on. Roles and permissions at the Pro tier is the feature that matters the first time somebody who is not you touches the system, and it lands at $49 rather than at enterprise pricing. And unlimited driver accounts on every tier is quietly generous in a category where per-seat billing is normal.

No hardware. VendSoft does not sell a telemeter or a card reader, and integrates instead with what you already run: its site lists Nayax, Cantaloupe, Crane, HaHa Vending, 365 Retail Markets and Coinco. It also supports manual counts for machines with no telemetry at all, which is the feature that makes it usable on a route of used machines with no readers on them.
No micro market support that we could find stated. If markets are in your plan, this is the wrong shortlist and you want VendSys, Parlevel, 365 or Cantaloupe Seed Markets.
And no business development, which by now won’t surprise you: nothing on the site is about finding, qualifying or signing a new account, and nothing generates a placement agreement.
Worth being fair about the trade-off behind the price. A $19 a month product doesn’t have the warehouse machinery of a platform quoting five figures a year. VendSoft has pull sheets and pick lists; it doesn’t have pick-to-light. It has route planning; the enterprise platforms have scheduling engines that reorder your week off four DEX reads a day. If you have 15 machines that difference is theoretical. At 150 it is the reason the expensive products exist.
Who VendSoft is for
The 5 to 40 machine operator who has outgrown a spreadsheet and does not want a discovery call. That is a real and badly served group, because the rest of the category either does not want them or will not quote them without a conversation. At $49 for 30 machines, the maths doesn’t need a business case.
It also suits an operator with mixed hardware. Because VendSoft integrates rather than sells, a route of five machines with a Nayax reader on three of them and nothing on the other two still works, using manual counts where the data does not exist.
Skip it if you run micro markets, if you need pick-to-light or DEX-driven dynamic scheduling, or if you have two machines. At two machines the answer is your card reader dashboard and a spreadsheet, and $19 a month is better spent on product.
How VendBuddy fits alongside it
