- Free first: the NPI Registry lists provider names, specialties and addresses; the CMS hospital dataset lists hospital names, addresses and phones. Neither names the person who sees reps.
- VendBuddy (our product) searches clinics, urgent care, dental offices and senior care by ZIP and radius, and reveals one contact for 1 credit; it was built for vending, so ignore its revenue rating.
- RocketReach lists healthcare data on its $142 a month (billed annually) Ultimate plan; Definitive Healthcare sells by custom quote. Neither was tested by us.
- Prices checked on 2026-10-08.
The best prospecting tools for medical sales reps start with a plain problem: a territory is a list of doors, and most of the names on the list are not the person who sees reps. This guide covers what to use to build the list of clinics, urgent care centers, dental offices and hospitals in your area, and how to find the office manager or administrator behind each door. Prices were read from each company's page on 2026-10-08.
The short answer
- Start with the free public lists. The federal NPI Registry gives provider names, specialties and practice addresses, and the CMS hospital list gives names, addresses and main phone numbers. Both cost nothing. Neither names the person who sees reps.
- For clinics, urgent care and dental offices near you, VendBuddy (our product) lets you search a ZIP and radius by type and reveal one named contact for 1 credit. It was built for vending operators, so ignore its revenue rating. Free account: 5 credits, no card.
- For hospitals and large groups, you need a paid database. RocketReach Ultimate lists healthcare data at $142 a month billed annually; Definitive Healthcare sells by custom quote. Not tested by us.
- Skip the paid tools if your territory is under about 100 offices. The free lists plus a phone call do the job.
VendBuddy is our product. 5 credits, no card.
VendBuddy is our product and it appears here because it can search by medical building type near you. It was not built for medical sales. Where it does not fit, the sections below say so.
Match the source to the kind of site
Different sites need different tools. A solo dental office, an urgent care chain location and a hospital do not share a list, and a tool that is good at one is often weak at another.
| Kind of site | Best free start | Best paid or faster route | What you still have to do |
|---|---|---|---|
| Solo practice or small clinic | NPI Registry: provider, specialty, address | VendBuddy search by medical office type and ZIP | Call and ask who handles vendor visits |
| Dental office | NPI Registry, then the practice website | VendBuddy has a Dental Office type | Check the website team page for the office manager |
| Urgent care | The chain's location page | VendBuddy has an Urgent Care / Clinic type | Find out if a regional manager decides, not the site |
| Senior living and nursing homes | State licensing lists | VendBuddy has Senior Living and Nursing Home types | Ask for the administrator or the director of nursing |
| Hospital | CMS Hospital General Information: name, address, phone, type | RocketReach Ultimate, Definitive Healthcare, Sales Navigator | Reach a named person through a department, not the main line |
How we checked
On 2026-10-08 we opened the NPI Registry and the CMS Hospital General Information dataset and read what fields they publish. We read the pricing pages of RocketReach, Apollo, LinkedIn Sales Navigator and Quo, the pricing contact page of Definitive Healthcare, and VendBuddy's live site and search screen. We did not run any competitor, so none gets a score and each is marked not tested by us. We also do not know your company's rules on who you may contact or how, so check your compliance team before you use any list.
Picture the machines paying you while you sleep
That’s the real promise of vending — income that doesn’t cost you your time, and a life on your own terms. VendBuddy turns this guide into a step-by-step plan so you actually build it instead of just reading about it. Start free today.
Start building free →The free layer: NPI Registry and the CMS hospital list
The NPI Registry describes itself as "a free directory of all active National Provider Identifier records". For each record it publishes the provider's name, specialty (called taxonomy) and practice address. That is excellent for a first pass on how many cardiologists, dentists or podiatrists work inside your radius. It does not list the office manager, an email address or the person who approves a vendor.
For hospitals, the CMS Hospital General Information dataset lists every hospital registered with Medicare with its address, telephone number, hospital type, ownership and whether it has emergency services. It is free to download. Think of it as a clean phone book. It will not give you a purchasing contact.
Best for: sizing your territory and building a call sheet at no cost. Skip it if you need an email address today.
VendBuddy: the nearby-offices pick (our product)
Best for: filling a day of visits around your home base. You choose a ZIP and a radius of 1, 5, 10, 25 or 50 miles, then a type. The medical group in the app has urgent care or clinic, dental office, veterinary clinic, senior or assisted living, and nursing home, plus a broad healthcare and medical office type. The list shows address, website and the title the app suggests asking for. One credit reveals the best contact on file for a business you picked: name, title, email and phone where they exist.
Worth knowing for your website: the operators who stop cold-calling are the ones property managers can find. A simple site built with Wix or Base44, plus the basics in our vending website SEO guide, is how that starts. Affiliate link, so we may earn a commission at no extra cost to you.
Price: a free account has 5 credits and no card. Starter is $49 a month for 150 credits. Searching and company data are free, so you pay only for offices you chose.
Real downsides:
- It is a vending tool. Each result is rated for how well a vending machine would do there. That rating means nothing for a device, a supply or a service, so ignore it.
- Hospitals are not a separate search type. Use the CMS list for those.
- A reveal returns what is on file. Some will have a phone and no email, and the person may be a general owner or manager, not the clinical lead.
Skip it if you sell into hospital systems, or you need to filter by specialty. Read the VendBuddy review for the full picture.
RocketReach: the one that lists healthcare data
Best for: getting a direct email or phone for a named person at a larger site. Essentials is $33 a month ($399 billed annually), email only, 1,200 exports a year. Pro is $75 a month ($899 billed annually) and adds phone numbers, with 3,600 exports a year. Ultimate is $142 a month ($1,699 billed annually) with 20,000 exports a year and, on its pricing page, healthcare data. A free account gets 5 lookups with no card.
Downside: the healthcare data sits on the top plan. We did not test what it covers, so ask for a demo of your specialty before you commit. Not tested by us. Compare more options in RocketReach alternatives.
Definitive Healthcare: the by-quote option
Definitive Healthcare sells a healthcare data platform. Its pricing page shows a "get a custom quote" form and example uses such as finding physicians who treat a specific disease and planning for health systems. It lists no prices. Best for: a company that has a data budget for hospitals and physician groups. Skip it if you want a monthly price you can look up. Not tested by us.
LinkedIn Sales Navigator: the title search
Best for: finding practice administrators and directors by name at larger groups and hospital systems. Core lists from $119.99 a month, or $1,079.88 a year. Advanced lists from $159.99 a month, or $1,799.88 a year. Free trials are open to members with no current paid LinkedIn plan who have not used a trial in the past 365 days. Downside: it shows people, not email addresses, and small offices often have no profile at all. Not tested by us.
Apollo: a free plan to test with
Affiliate link: VendBuddy may earn a commission at no extra cost to you.
Apollo's free plan has 900 credits per seat per year; Basic is $49 per seat per month billed annually. It filters by job title and industry, which is useful for the larger groups. It is weaker for a single-chair dental office. Not tested by us. See the wider field in the best b2b lead generation tools for small business.
What a 300-office territory costs
Take a rep with about 300 offices to reach in a year. This counts price only and assumes every contact is useful, which it will not be.
| Route | Cost for the year | Notes |
|---|---|---|
| NPI Registry plus CMS list plus phone calls | $0 | Time heavy; no emails |
| VendBuddy Starter for two months | $98 ($49 x 2) | 300 credits, one per office you reveal; cancel after |
| VendBuddy credit packs | $183 (200 for $119, plus two 50-packs at $32) | Only if you want no subscription; credits never expire |
| RocketReach Pro | $899 billed annually | 3,600 exports a year, phone included |
| Sales Navigator Core | $1,079.88 billed yearly | Profiles, not email addresses |
Calling, once you have the name
Most of a rep's first contact with a small office is a phone call or a drop-in. A second line that keeps your personal number private helps. Quo is a business phone app whose pricing page lists $19, $33 and $47 per user per month on the monthly view, and says in its description that plans start at $15 per user per month. We have not tested it. Our post on choosing a business phone covers what to look for. How to choose
If you have a short territory, start free. If you have a long one, price your time. Building a list by hand for 300 offices costs more of your week than the $98 above. Pick the cheapest tool that returns a named person for the kind of site you call on, test it on twenty offices, and count how many gave you someone you could actually reach.
Whatever you use, find out each facility's rules for sales visits first. Some limit or schedule them, and your employer may have its own contact rules. For the basic skill of finding who decides, see how to find business owner contact information. The full tool field is in the hub comparison.

Frequently Asked Questions
How do medical sales reps find the decision maker at a clinic?
Most start with a public list of sites, then call and ask who handles vendor visits. At a small office that is often an office manager or practice administrator. A tool such as VendBuddy suggests a title to ask for and can reveal a contact on file for 1 credit; a title search on LinkedIn works for larger groups. We have not tested the paid competitors.
Is the NPI Registry enough to build a territory list?
It is enough to size a territory and get provider names, specialties and practice addresses, and it is free. It does not give email addresses or the staff who approve vendors, so you still need a second step to reach a person.
How do I find contacts at hospitals?
The CMS Hospital General Information dataset gives each hospital's name, address, telephone and type for free. Named people usually come from a paid database or a professional network. RocketReach lists healthcare data on its Ultimate plan, and Definitive Healthcare sells by custom quote. We have not tested either.
Can VendBuddy find dental offices and urgent care centers?
Yes, the app has separate Dental Office and Urgent Care / Clinic search types, plus senior living, nursing home and veterinary types. Hospitals are not a separate type. VendBuddy was built for vending operators, so its revenue rating is not useful to a medical rep.
What is the cheapest way to start?
The NPI Registry and the CMS hospital list are free, and VendBuddy, Apollo and RocketReach each have a free tier you can test on a few offices before paying. Prices checked on each vendor page on 2026-10-08.
