What we did with it
We run three publications: the VendBuddy Operator Brief, Dev List and Endzone Entertainment. Most of what follows comes from the VendBuddy one, which has about 200 subscribers. That is small, so we can speak to setup and day-to-day use, not to inbox placement or open rates at scale. We have not run a test that proves any of this brings in customers, and we will not pretend we have.
- A weekly rhythm. The Operator Brief goes out Monday, Wednesday and Friday. Monday covers the week in vending, Wednesday is one location play, and Friday is what shipped and what worked.
- Automations. A welcome series for new subscribers, a win-back email for people who go quiet, a free 7-day challenge and a paid 30-day sprint.
- Sorting by interest. Five groups built from which links people click: getting started, locations, machines, money and growing a route. Each has its own follow-up.
- Growth. A referral program with milestones, a signup box on our blog posts that sends people into the list, and a recommendations screen where other newsletters can be shown. We turned off recommendations that did not fit our readers.
- Sponsors. The ad network offers sponsor blocks. We choose by fit with our readers, not by the highest payout.
- Housekeeping. Custom signup questions, a feedback poll, post templates and a footer with a mailing address.
The point for a small operator is not the list of features. It is that one tool held the signup box, the welcome email, the weekly issue and the follow-ups. Fewer places to log into means more of your week stays yours.

- A generous free plan. Up to 2,500 subscribers and unlimited sends is more room than most local lists will use for a long while. Mailchimp's free plan stops at 250 contacts, by comparison.
- Everything in one place. Website, newsletter, signup flows, automations, polls and products live in the same account. On the pricing page, beehiiv says every product is included on every plan and that only limits and advanced features change.
- Growth tools built in. Recommendations from other newsletters and a referral program mean the list can grow without ad spend. We have not measured how much it has added.
- No cut of what you sell. Per the pricing page, beehiiv takes 0% of paid subscriptions and digital product sales. You still pay Stripe's standard fee of 2.9% plus $0.30 per transaction.
- It works with AI tools. The pricing page lists a beehiiv connection for Claude, ChatGPT and Gemini on Lite and up. We use it to draft issues; it can create drafts but not send them, so a person still hits send. That limit suits us.
Where it falls short
- Automations are not free. A welcome series is the first thing most small businesses want, and it starts on Lite. Plan on paying if that matters on day one.
- It is built for publishers. The language is about creators, tiers, Boosts and recommendation networks. If you only want to email your locations, some of that is noise.
- Small friction we hit. Embedded forms and the hosted subscribe page do not fill in an email address from a link. Ad offers rotate within hours, and accepting one sets a send-by date, so you have to place it in the same sitting. AI-generated images are capped at 25 a day per workspace, and one busy day we used 23 of them.
- No text messages listed. The pricing page does not mention SMS. Kit and Mailchimp both list it.
- Old copy can linger. When we re-used a publication that had a past life, the hosted site pages still carried the old name and text until we edited them by hand.

Case: 500 subscribers, a plain weekly email, 12 months. $0 on the free plan.
Case: 1,000 subscribers with an automatic welcome email. Lite is $49 a month billed yearly, which is $588 over 12 months, as shown for 1,000 subscribers. Pro is $95 a month billed yearly, $1,140 over 12 months. You only need Pro to drop beehiiv branding or get priority support.

Who it is for, and who should skip it
It is for an owner who wants a weekly or monthly note to go out reliably, who is happy to start free and who would like the list to keep growing. A route operator writing a short update to locations, customers and other operators is a fair fit, because the work is one email, not a marketing department.
