First, decide which person you need
A 120-unit complex has at least three people attached to it. The on-site manager handles leases and repairs. A management company, sometimes with a regional manager, runs the building for the owner. The owner of record is the name on the deed, which for most apartments is a company, partnership or trust, not a person. A person who wants to buy the building has to reach the last one. A person who wants to rent a space in the lobby, or sell services to the building, usually needs the second.

Step 1. Build the address list
You can build a list from a map search, from your own driving, or from a data service. Step 3. Find the owner of record in public records
Most counties run an assessor or recorder website where you search by address or parcel number and see the owner name and mailing address. The format and the fees differ from county to county, and bulk downloads are sometimes sold. If the owner is a company, move to the next step.
Step 4. Look behind the company
Every state keeps a business-entity register. Florida's Sunbiz search, for example, lets you look up a company by entity name, by officer or registered agent, by EIN, or by street address. That shows who files for the company and where, which is often an officer's mailing address. A registered agent is a filing service, not the decision maker, so treat the officer line as the lead and the agent line as a dead end.
Step 5. Add a phone or email

Where VendBuddy fits, and where it does not
It is good for turning a map of an area into a list of complexes with a named contact, fast and for a small price. On the annual Starter plan the credits work out to about 23 cents each. It does not trace ownership, run a skip trace or show deed records. The contact it shows is the one it has on file, which may be the leasing manager and not the owner, and some reveals come back without an email. PropStream, DealMachine and BatchData
PropStream: Essentials is $99 a month, or $81 a month billed annually ($972). It includes property and contact import of up to 25,000 and lists skip tracing at 12 cents a contact and direct mail from 57 cents a postcard. Pro is $199 a month, or $165 billed annually ($1,980), with two team members and skip tracing at 10 cents. It offers a free trial. Downside: prices rise fast when you add team members, at $30 a month each. Not tested by us.
DealMachine: Basic is $99 per seat per month, billed monthly, with 10,000 data credits a seat. Pro is $149 per seat per month with 20,000 credits. Both list nationwide property and owner data, a driving-for-dollars app and pay-as-you-go postcards. Downside: the page counts data credits, and we did not verify how many credits one skip trace uses. Not tested by us.
BatchData: the plans we read run from $2,000 a month for up to 100,000 skip traces, built for companies calling an API. It is not for a person looking up a few dozen owners. We mention it because its plan lists show what serious skip-trace data includes: phone numbers, emails, mailing addresses, and do-not-call, TCPA and litigator flags. Not tested by us.
Those flags matter. Calling or texting a mobile number is covered by federal rules and the Do Not Call registry. Check them, and a lawyer if you are unsure, before you dial a list of skip-traced numbers.
What it costs to reach 100 owners
Take 100 apartment owners you want to reach in a month, and assume a skip trace on each.
- Public records only: $0, plus a few evenings.
- PropStream Essentials, one month: $99 plus 100 skip traces at 12 cents, which is $111. The annual rate would cost $81 a month.
- DealMachine Basic, one month: $99. The cost per skip trace is not shown on the page we read.
- VendBuddy Starter, one month: $49 for 150 credits, enough to reveal 100 managers. That reaches the building, not the deed holder.
The cheap combination for a solo investor is the free layers first, one paid month of a skip-tracing tool when you have the owner names, and cancelling after. Reading the owner names off public records is the slow part and the free part.
Three mistakes that waste a month
- Paying for skip tracing before you have names. A skip trace works from a name and an address. Do the county and state lookups first, or you pay to trace the wrong entity.
- Treating the registered agent as the owner. That line on a state filing is usually a service that receives legal papers. The officer or manager listed beside it is the better lead.
- Calling the owner before the manager. A manager who likes you can tell you whether the owner is open to talking, and how the owner prefers to be reached. A manager who feels bypassed can close that door.
None of these steps needs a paid plan to try. Run three buildings through the whole chain by hand, write down how long each step took, and then decide what is worth paying for.
