Vending machine pitch letter and email generator

You found a building that could carry a machine. Now you need words that get a reply from the person who decides. Pick the kind of location, tick what you offer, and this tool writes a short first email, two follow-ups and a printed letter you can leave at the front desk.

The structure comes from the scripts on our blog that operators use every week: one specific observation about the place, one plain sentence about what you do, a yes-or-no ask, and a P.S. that makes you easy to trust. No commission numbers in the first touch, no buzzwords, and the email stays under 120 words.

1. First email

2. Follow-up, day 3 (reply to your own email)

3. Last follow-up, day 7 to 10

4. Printed leave-behind letter

How to use the result

  1. Make the first line yours. Swap in one detail you saw: the shift change, the package room, the line at the front desk. That line is what shows you are not mass-mailing.
  2. Send to a name. “Hi there” works, a first name works better. Ask the front desk who handles the break room, or look the business up first.
  3. Follow the cadence. Day 3 bump as a reply to your own email, a last note around day 7 to 10, then stop.
  4. Bring the letter on the walk-in. Print it with a photo of your machine and leave it with whoever is at the desk.
  5. When they say yes, send a one-page agreement the same day. The placement agreement generator drafts one in a minute.

A good pitch to the wrong person goes nowhere. VendBuddy’s Lead Finder shows the businesses near any ZIP and the decision-maker’s contact on file, so this email lands with the person who can say yes.

Questions people ask

How long should a vending pitch email be?

Short. Our cold email guide targets 80 to 110 words and cuts anything over 120. The generator keeps the body inside that and shows the word count.

Should I mention commission in the first email?

Not as a number. The guide’s advice is to save percentages for the reply, because a number in a cold email reads as a pitch. If you tick commission, the email says you can pay one; the figure goes in the agreement.

When should I send the follow-ups?

The cadence in our guide is a two-line bump on day 3 and a last, polite note around day 7 to 10 that gives them a clean out. After that, stop and put the contact on a 90-day list.

Is email or walking in better?

Walking in usually wins at small and mid-size sites, and email is the follow-up channel. Use the printed letter as your leave-behind on the walk-in, then send the email within 24 hours to the name you got at the desk.

Who should I address the pitch to?

Whoever decides on the break room or amenities: an office or facilities manager, a property manager at apartments, the owner at a gym or laundromat. Ask the front desk who that is, or look the business up in a lead tool before you write.
